Job description
SPIE Services Nigeria Limited is currently looking for a Secretary/PA to MD & Senior Leadership Team to join its work force in Nigeria. His responsibilities shall include:
- Prepares letters, reports and memos.
- Answer telephone calls, take messages and respond to enquiries.
- Schedules appointments, maintain calendar, leave schedules.
- Make reservations for meetings.
- Distributes mail.
- Prepares materials for workshops, conferences, meetings, duplicates/collates.
- Maintain files and related records.
- Proofread and edits letters.
- Provide secretarial support to visiting SLT members and other Management staff.
- Orders, distributes, and keeps an inventory of supplies.
- Upload letters in DMEP.
- Ensure the timely preparation and transmittal of responses to correspondences for Government Relations Department.
- Responsible for organizing and managing complex travel and accommodation arrangements for the GM.
- Manages requisition of standard goods and stationery for the office.
- Responsible for interfacing with all the four (4) division in the COS Directorate.
- Provides Information System & Telecoms (IST) support for in and outbound personnel, IT supplies etc.
- Perform other duties assigned.
Requirements
Professional Skills:
- Knowledge and Experience of Relevant Software Applications – Spreadsheets, Word Processing, And Database Management.
- Knowledge of Administrative and Clerical Procedures.
- Knowledge of Business Principles.
- Proficient in Spelling, Punctuation, Grammar, and Other English Language Skills.
- Proven Experience of Producing Correspondence and Documents.
- Proven Experience in Information and Communication Management.
QUALIFICATIONS / EXPERIENCE REQUIRED
- Bachelors/HND Degree in Management Secretary, Humanities, or related discipline.
- 7 years post-graduate experience in relevant functions preferably secretarial experience.
- Good analytical and report writing skills, excellent interpersonal and problem-solving skills.
